AI integration in the public administration

Artificial Intelligence (AI) can be transformative in addressing some of the challenges facing society today. The ENAIBLER project is exploring this potential through a collaboration across 5 European regions. One of its workstreams is that of identifying good practices that support public services though AI. To date five good practices have been identified ENAIBLER project partners. Now we are going to know about “AI-based case assignment and search module” good practice shared by our Polish partner Opolskie Centre for Economy Development.

The "AI-based case assignment and search module" represents a paradigm shift in document management within public administration. Embedded within the EZD PUW system, a cornerstone of electronic documentation management developed by the Podlaskie Voivodeship Office in Białystok, this innovative solution is set to redefine operational efficiency.

ENAIBLER project partner Opolskie Centre for Economy Development has integrated AI solutions into the EZD PUW system. Leveraging natural language analysis and historical case data, the AI-powered module streamlines the assignment and distribution of incoming correspondence within public entities.

By automating repetitive tasks and learning assignment rules, the system boosts officials' efficiency and accelerates document processing. Real-world testing commenced in 2021, with several Polish offices participating in the trial phase. The effectiveness of the algorithms was validated through tests conducted at the Podlaskie Voivodeship Office, ensuring seamless integration into operational workflows.

Currently, the Marshal's Office of the Opole Voivodeship is among the institutions implementing the anonymization facility before full implementation of the module. At the same time the Częstochowa University of Technology is carrying out works for increasing the efficiency of the module from 95% to 99% and its adaptability in different public administration environments.
