Documentation center of the Provence-Alpes-Côte d'Azur Region : a documentary support
About this good practice
The objective is to support the proper implementation of public policies and to meet the information needs of the institution's agents. Among the working themes addressed: research and innovation, regional economic development, the environment, regional planning, mobility and transport, education and training. The documentation center offers a documentary fund composed of books and magazines related to regional competences, local authorities and the preparation of competitions. It also provides administrative documents accessible to any citizen who requests them. To complete this offer, the 5 documentalists carry out 21 daily watches on the work themes of the internal staff and adapt to the context by creating new ones. To go further, documentalists offer to provide personalized answers to the internal staff of the regional Council. If an agent has a specific need or question, he or she makes a request to the documentation department. The documentalists will then produce a bibliographic document or a document service to meet this need. Since 2019, the Centre has started enlarging its activities to connect with local stakeholders. The documentation center has signed an partnership agreement with the ADBS PACA -Association of Information and Documentation Professionals-, an association whose members are documentalists. The aim of this agreement is to create events (conferences, workshops...) by pooling resources and skills and by promoting expertise.
Resources needed
The documentation center has a library (books and journals), a documentary portal called "i-Doc" providing a range of services and products. The watches are transmitted by email and via a dedicated mobile application.
Evidence of success
1105 are subscribers to the watches:19% more subscribers than in 2019. In 2020, 45 bibliographic documents on request were made, +55% compared to its implementation in 2018. Agents were able to express their satisfaction with the quality of this service via surveys:85% of agents consider the information provided to be excellent. About events, the last conference which included a presentation of a book by its author, 60 participants, and a computer workshop, sold out with 20 participants.
Potential for learning or transfer
The Documentation Service continues its missions of monitoring and decision-making support for the staff of the Region Provence-Alpes-Côte d'Azur but wishes to go further by expanding its audience. The partnership with the ADBS is a first step in cooperation between documentation players. It has shown the wealth that can be created by pooling the resources of each, whether material or human. The idea is to increase this network thanks to the participation of other organizations, associations, administrations, on a local, national, European geographical scale... The multiplication and the involvement of the actors will have for goal, not only creates events, but also a greater mutualization of the expertises, the material and human resources as well as the development of competences in the optics to become a true interregional resource center.
